Customer challenges
The client was facing the pain points significantly and due to which unnecessary status meetings, missed deadlines, and frustrated teams. Some of the major issues were:
Managers couldn’t see the most important data at a glance — too much scrolling, too many columns.
Turnaround time calculations were manual and error-prone.
Team assignments were done by hand, which caused routing delays and duplicate work.
Handoffs between teams weren’t visible, so progress was often unclear.
No capacity view to quickly understand bandwidth or recurring vs one-time requests.
Solutions
We configured monday.com Work Management and delivered targeted automations, formula logic, and UI changes so the tool behaves like a single source of truth.
Automated turnaround calculations
Implemented formula columns to compute per-team durations and aggregate turnaround (e.g., Total Turnaround = IF({Content},2,0)+IF({Design},1,0)+IF({Site},2,0)).
Used formula-driven date arithmetic to set Expected Completion = {Request Date} + {Total Turnaround}. These values are recalculated automatically when inputs change.
Checkbox-driven team assignment & routing
Created conditional automation recipes: when a requester checks the “Content” box the item is assigned to Content Board, status set to “Queued,” and an item link is mirrored to the manager board.
For cross-board synchronization we used mirrored columns and inter-board automations so updates flow bidirectionally without manual copy-paste.
Real-time progress & dependency handling
Added a progress roll-up: each team’s completion toggles an automation that updates a Progress % column (e.g., content complete → +33%).
Implemented dependency automations and notification chains so the next team receives an alert (email/Inbox) as soon as the prior stage completes.
Manager’s simplified, scroll-free view
To enhance managerial efficiency, we designed a custom dashboard combining timeline widgets, workload widgets, and summary tables. This provided a clear view of campaign name, request date, expected completion date, current status, and team capacity.
The layout was optimized to fit 7–8 critical columns visible without scrolling, enabling managers to view essential data at a glance.
Visualization & workflow flexibility
Exposed Gantt (timeline) and Kanban views; added toggles to switch between agile and waterfall workflow templates.
Added capacity heatmaps and throughput indicators using dashboard widgets for forecasting.
UX tweaks for “lazy” users
Left-most critical columns, single-click status changes, and minimized modal opens. Default views surface only what managers need to act on immediately.
Results
After the implementation, The client experienced a major improvement in project visibility and turnaround tracking.
Managers now assess campaigns in seconds — no scrolling required.
Automated turnaround and date formulas removed manual math and reduced errors.
Team handoffs are timely thanks to notification automation.
Progress became visible and measurable; teams saw exactly when they’re expected to act.
