Implementation Legacy System with monday.com for a Manufacturing Company

About The Company:

Our client is a manufacturing company with an average-sized team in operation. They were delivering their product lines in multiple locations in multiple countries.

Customer Challenges:

The client used a custom internal system to manage their processes and data for several years. This system was complex and capable of gathering and consolidating data from multiple sources, which made it essential for their daily operations.

  • While monday.com offered a more streamlined approach to managing data and processes, the client faced a significant challenge.

Initially, the client attempted to handle this manually, but the task quickly proved overwhelming due to the sheer volume of data and the potential for human error. Manual synchronization was time-consuming and prone to mistakes, especially with repetitive tasks, making it difficult to maintain accuracy and efficiency.

Solutions:

For this update, the client connected us, and we started the process after finalization.

During our discovery phase, we realized that re-creating their legacy system's functionality in a new application would be too costly and time-consuming. Instead, we proposed a solution monday.com implementation, that retained the legacy system for automatic data gathering and normalization while exporting processed data to monday.com.

We crafted a custom solution that automatically imported data values to monday.com from their legacy system. To achieve this, our developers extended the legacy system to export data into CSV files, uploaded to an FTP server. Our solution retrieved the CSV data, processed it, and synchronized it with monday.com boards.

Synchronization occurred twice daily, which significantly reduced the manual effort previously required. Each board on monday.com had custom integrations, allowing for precise control of item mapping between the CSV file and board columns. Additionally, the app sent notifications within monday.com to alert employees of any data changes or synchronization failures, ensuring that the team stayed informed and could react quickly.

To optimize costs, we implemented a serverless architecture on AWS, utilizing lambda functions and DynamoDB tables to minimize infrastructure expenses and API calls. This solution proved highly efficient and required no ongoing maintenance.

Result:

The client has been successfully using the monday.com app for over a year, and the benefits have been substantial. The automated solution saved significant time and labor, as manual synchronization was no longer necessary. Moreover, automation eliminated the risk of human error, ensuring that no data bugs were introduced during the synchronization process.
