monday.com CRM implementation for an NGO

About The Company:

Our client is a non-governmental organization (NGO) helping underprivileged communities globally. 

Customer Challenges:

As the NGO expanded with time, it faced challenges in tracking donations, managing donor relationships, organizing volunteer tasks, and communicating across departments.

Key issues were:

  • Donation Management: Donation tracking and timely follow-up were a cumbersome task, often resulting in losing opportunities for additional donations. 
  • Communication Gap: Volunteers were from various different locations so a clear communication gap was resulting in bad coordination and duplication of efforts. Improper Scheduling and tracking was making it time-consuming and inefficient to track volunteer hours.
  • Tracking Tasks: Management of several concurrent running projects (e.g., school builds, medical camps, fundraising events), and assigning tasks across teams was a mind-boggling task. Clarity was missing in project deadlines, progress, and assigned tasks.
  • Reporting: The campaign’s tracking and reporting its effects was challenging. The Legacy reporting system was error-prone.

Solutions:

We implemented the following solutions for the client.

CRM Implementation:

We implemented Monday.com as a centralized CRM to contain donor information. A "Donors" Monday board was also created by us with custom fields as per client’s need to track donation amounts, donor preferences, communication history, and engagement levels. Workflow automation is used to automate follow-ups, event reminders,  and post-event surveys.

For volunteer management, we customized another board named "Volunteer Tasks."  Tasks could be assigned based on location and availability in this board. Volunteers could easily see upcoming updates, campaigns, events, and tasks that needed their support.

We customized Monday.com’s calendar view to make it easy to schedule volunteer shifts more efficiently, and our custom integration with their email enabled them to send out updates and notifications.

Various other boards we created for like fundraising events or school-building initiatives, with custom columns including deadlines, task owners, and status updates. We used monday.com crm’s Kanban view to visualize task progress.

For visualization of total donations raised, volunteer hours logged, and project completion status we leveraged key performance indicators (KPIs).

To resolve communication gap issues we did monday.com integration with third party communication tools Slack and Gmail.

Results:

Our custom monday.com implementation and integration solutions brought positive results for client.
