Customer Challenges 

They were facing many challenges. missing visual link made it harder to start the right conversation at the moment of the call. 

  • No visual context at the point of call: Sales consultants opened a lead record and saw names, emails, and timestamps. They did not see the ad creative. Without that visual cue, every call began with uncertainty: which message had grabbed this person’s attention? 
  • Time lost to context-switching: To find the ad, consultants had to bounce between HubSpot, the ad platform, and campaign reports. That added friction. Calls started on the wrong foot. Follow-up notes often lacked the campaign detail that matters. 
  • Preserve current workflow: Replacing tools or retraining the whole team was not an option. The client wanted a tidy enhancement inside HubSpot — something that fit naturally into the consultant’s usual workflow without introducing new steps. 

Solutions 

The project team focused on one obvious idea: surface the ad image directly on each lead record. The solution had to be fast, reliable, and invisible to the way the sales team already worked. 

  • Discovery with real users: Short interviews with consultants revealed the moments that mattered in a call. One senior consultant said, “If I can see the ad before I click dial, I already know how to open the conversation.” That single line shaped the design. 
  • Map image data to leads : The team reviewed where ad image links lived — in ad platforms and campaign tracking records. Using the HubSpot API, they created a custom lead property that could store a trusted image URL or a small image token. The mapping logic matched the campaign click data to the correct creative. 
  • Build the UI panel: Inside HubSpot, a compact visual panel was added to the lead record. The panel lazy-loads the image, so pages stay snappy. If an image wasn’t available, a small fallback card displayed campaign name and date. The panel sits beside contact details. No extra clicks. No popups. 
  • Pilot and refine : A two-week pilot with a small group of consultants produced fast feedback. The image size was tuned. Caption text was added so consultants could see the campaign name at a glance. Small bugs were fixed quickly — for example, when an ad image URL changed, the system re-fetched the latest version. 

Results 

  • Immediate context: Consultants could open a lead and know within seconds what message the prospect had seen. Calls began with tailored openings instead of general scripts. 
  • Less context-switching: The number of times reps left HubSpot during a call dropped sharply. That kept conversations focused and reduced awkward pauses.
