Customer Challenges

The client wants to move from Salesforce to Monday.com because some major issues to them were: 

  • Volume of Data: the client wanted data integrity for all of its 28,000 entries. Data certainty was primary concern for every property to remain linked to the right owner. 
  • Maintaining Data Accuracy: They wanted confident accurate data with no duplication or redundancy during migration.  
  • Adapting to a New Platform: Salesforce and monday.com store and handle data differently. This meant the client needed custom structures inside monday.com to replicate their existing processes. 

Solutions 

The migration required a mix of technical planning and execution. We broke it into structured phases to ensure both accuracy and functionality after the move. 

Data Audit and Object Mapping  

  • We exported Salesforce data using Salesforce Data Loader, pulling records from key objects like Accounts (owners), Properties (custom object), and Opportunities (transactions).   
  • A detailed field mapping exercise was carried out. Every Salesforce field—such as Property ID, Owner Name, and Transaction Amount—was mapped to a monday.com column. 

Data Normalization

  • Duplicates and incomplete records were filtered out before migration.   
  • Using Python scripts and SQL queries, we standardized property IDs and normalized text fields like addresses and owner names.
  • Reference IDs were assigned so property-owner relationships could be rebuilt correctly in monday.com. 

monday.com Environment Setup

  • We created separate boards for Properties, Owners, and Transactions. 
  • Relationships were rebuilt using Connect Boards and Mirror Columns, so data could behave like Salesforce’s relational database structure.
  • Automation recipes in monday.com were set up to trigger notifications or updates—for example, when an owner was linked to a new property. 
  • Conditional automation rules replaced some of Salesforce’s old workflow triggers, ensuring smooth updates across boards. 

Pilot Migration and Testing

  • We first migrated 1,000 records through the middleware pipeline. 
  • Validation scripts compared migrated data against Salesforce source records, checking for missing fields, broken references, or mismatched relationships. 
  • Errors were corrected in the mapping logic before full-scale migration. 

Full Migration Execution

  • The entire dataset of 28,000 entries was migrated in controlled batches. 
  • API limits were managed carefully to avoid timeout issues. 
  • After migration, we ran reconciliation reports to ensure that the count of objects in monday.com matched Salesforce.
